What we do and what we do not do

What we do

  • We screen organisations and named individuals against sanctions lists, because the law requires it.
  • We keep the records Danish accounting and export control law require.
  • We answer a rights request within one month.
  • We tell you who we share data with: our host, our email provider, and authorities where the law requires.

What we do not do

  • We do not sell personal data.
  • We do not run advertising or advertising trackers.
  • We do not build profiles of visitors.
  • We do not set cookies that are not essential without consent.
  • We do not accept classified or export controlled material by email.

Who we are and what this covers

Optio Venture Partners ApS (CVR 43159054), Copenhagen, Denmark, is the data controller for personal data processed through this website and through enquiries made to us. This notice covers online activity on this site and applications for roles with us. It does not cover data collected through signed engagements, which are governed by their own terms.

Data we collect

Contact details you give us when you make an enquiry by email or telephone: name, organisation, role, email, telephone, country, and the content of your message and any attachments. Server log data collected automatically by our host: IP address, browser type, internet service provider, date and time, referring and exit pages.

Why we process it

To respond to and manage your enquiry and any resulting engagement (performance of a contract, or steps taken at your request before entering one). To operate and secure the website and prevent fraud (our legitimate interest in running a secure and functioning site).

Screening and due diligence

Enquiries relating to procurement, trading or representation are subject to counterparty and end user screening. We check the enquiring organisation and named individuals against sanctions and restricted party lists and record the outcome. We do this to meet our legal obligations under export control and sanctions law.

Who we share it with

Service providers acting on our instruction: website hosting and email. Public authorities where we are required to disclose by law, including export control and licensing authorities. Where a provider processes data outside the EU/EEA, transfers are made under the European Commission’s standard contractual clauses or an adequacy decision.

Cookies

This site sets no cookies for its visitors. It runs no analytics and no advertising. If that changes, cookies that are not essential will be set only with your consent, which you can change or withdraw at any time, and this notice will be updated first. You can also disable cookies in your browser settings.

Job applicants

If you apply for a role, we process your application, CV and any references to assess you for that role (steps taken at your request before entering a contract). Only those involved in the hiring decision see your application. If you are not appointed, we delete it when it is no longer needed for the hiring decision, unless you ask us to keep it.

How long we keep it

Enquiry correspondence is kept for up to two years after the last contact. Accounting records are kept for five years, as Danish bookkeeping law requires. Records connected to screening, licensing or a concluded engagement are kept for the period export control law requires. Server logs are kept on a short rolling basis.

Security

Access to enquiry data is limited to those in the firm who need it. Do not send classified, export controlled or otherwise restricted material by email or through this website. If your enquiry involves such material, tell us in general terms and we will agree a secure channel before anything is sent.

Your rights

Under the GDPR you may request access to your personal data, rectification of inaccurate data, erasure, restriction of processing and portability, and you may object to processing carried out on the basis of our legitimate interests. Where processing rests on consent, you may withdraw it at any time without affecting processing already carried out. We respond within one month.

Complaints

If you are not satisfied with how we have handled your data you may complain to the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark, datatilsynet.dk.

Children

This site is directed at government, institutional and industry audiences. We do not knowingly collect personal data from children. If you believe a child has provided data to us, contact us and we will remove it.
